Cancellation and Rescheduling Policy

Bookings made more than seven calendar days before the event require a 50% deposit. The remaining balance is due seven calendar days before the event.

Bookings made seven or fewer calendar days before the event require full payment at booking.

Your reservation is confirmed after checkout acceptance, successful payment, and confirmation that your date and selected services are available. No separate signed contract is required.

Send your cancellation request to the email address listed in your booking confirmation. Include your name, booking number, and event date.

Cancellation timing is based on when we receive your written request, using Central Time. We will acknowledge your request and provide a statement of any cancellation fee and refund. A delay in our acknowledgment does not change the date your request was received.

Cancellation fees are calculated on the agreed service charges after discounts, excluding taxes and travel charges.

More than seven calendar days before the event: a cancellation fee of 50% of the agreed service charges applies.

Seven or fewer calendar days before the event, including same-day cancellations and no-shows: a cancellation fee of 100% of the agreed service charges applies.

Payments already made are applied toward the cancellation fee. Any amount paid above the applicable fee and other properly payable charges will be refunded.

These fees account for the reserved date, preparation, and scheduled resources. They apply only to the extent permitted by applicable law.

Travel charges for trips that have not taken place will be refunded. Charges for travel already completed remain payable.

We will adjust applicable taxes as required and initiate eligible refunds to the original payment method within ten business days after confirming the refund amount. Your payment provider may take additional time to post the credit.

You may request one date change without a separate rescheduling fee when we receive the request at least fourteen calendar days before the original event date.

The replacement event must take place within twelve months of the original date and is subject to availability. Payments transfer to the approved replacement booking.

Changes in services, quantities, staffing, venue, or travel may change the price. We will provide the revised details for your approval before confirming the replacement date.

Requests received fewer than fourteen days before the event are considered individually and are not guaranteed. Until a replacement date is confirmed in writing, the original booking remains in effect. If no replacement is agreed and you cancel, the cancellation schedule applies.

Contact us before changing or removing services from a confirmed booking. Reductions are subject to availability, preparation already completed, and the applicable booking minimum.

Removing a service is treated as a cancellation of that portion of the booking, using the same timing and percentage schedule. Revised package discounts and totals will be explained before changes are accepted.

A forecast change does not automatically cancel your booking. Contact us promptly to discuss a suitable indoor location, revised setup, or available alternatives.

If you choose to cancel while the agreed services can still be provided, the cancellation schedule applies.

We will not operate equipment or provide services where conditions are unsafe.

If we cannot provide an agreed service, we will notify you promptly and discuss any available alternative.

You may accept an agreed replacement or receive a refund for the affected, unprovided service and its unused related travel charges. We will not require you to accept a credit instead of an eligible refund.
